Retail performance dashboard
A governed reporting model and interactive dashboard built on metric definitions everyone has agreed to.

The problem
Sales, transactions, basket size and stock measures are stored in separate reports. Each was built for a different reason at a different time, and when two of them disagree there is no way to establish which is correct, so both lose credibility.
How the work is usually done today
- Several reports are run from different systems
- Figures are compared manually and rarely reconcile exactly
- Time is spent explaining the difference rather than acting on it
- The version that gets quoted depends on who ran it
- Nobody can point to a written definition of any measure
The ByteX approach
Create a governed reporting model with agreed definitions, then build an interactive dashboard on top of it. The model becomes the single reference; individual reports stop being independent sources of truth.
Example workflow
-
Define the measures
Document sales, margin, transactions, units and stock on hand precisely, including treatment of returns, discounts, GST and internal transfers.
-
Build the model
Consistent product, location, customer and date dimensions so any combination of filters produces a valid comparison.
-
Validate
Reconcile against existing trusted reports and resolve every difference before release. This step takes longer than expected and is worth it.
-
Build the dashboard
Design around the decisions management actually makes, not around every available field.
-
Govern
Scheduled refresh, data-quality checks, documented definitions and a nominated owner for changes.
Potential systems
What may be involved
Indicative only. What is actually possible depends on your platforms, subscription tiers and each vendor's integration terms.
- Power BI
- SQL Server or Azure SQL
- POS platforms with API or export access
- Shopify and other ecommerce platforms
- Xero, MYOB or another accounting platform for cost data
Expected outcomes
What tends to improve
Operational outcomes rather than percentage claims. ByteX does not publish savings figures it has not measured in your business.
- A consistent management view that reports are measured against
- Less time spent reconciling reports that should agree
- Documented definitions that survive staff changes
- Faster answers to routine performance questions
- The model can only be as accurate as its sources. Source data cleanup is often required and is scoped as part of the work.
- Margin reporting requires reliable cost data, which many businesses do not have in the detail they assume.
- Historical depth is limited by how long each source platform retains detail.
- Power BI licence tier affects sharing, refresh frequency and some connectivity features.
Security and privacy considerations
- Performance data is commercially sensitive; access is restricted by role.
- Row-level security is applied where staff should see only their own location or region.
- Read-only service accounts are used, with credentials in a key vault.
- Customer-level detail is excluded unless there is a specific reviewed purpose for including it.

Problems that often appear alongside this one
Multi-store sales dashboard
- Business problem
- Management cannot easily compare sales, basket size, stock and performance across locations.
- ByteX approach
- Consolidate authorised data into a single reporting model with agreed metric definitions, then provide filterable dashboards that management can use directly rather than requesting a report.
- Expected outcome
- A consistent management view that all locations are measured against
Inventory exception reporting
- Business problem
- Management cannot easily identify unusual stock movements, low stock or inconsistent records.
- ByteX approach
- Apply defined exception rules to stock data and distribute a scheduled report showing only what needs attention: negative stock, unusual movements, items below reorder point, ageing inventory and records that disagree between systems.
- Expected outcome
- Earlier identification of inventory issues, while the cause is still traceable
Automated report commentary
- Business problem
- Managers receive dashboards but still manually write the routine summary that accompanies them: what moved, by how much, and against what comparison.
- ByteX approach
- Generate plain-language commentary from the approved metrics: what changed, by how much, against which comparison, and which measures fell outside agreed thresholds.
- Expected outcome
- Faster reporting cycles, with commentary present every cycle rather than when there is time
