Who this service is for

  • Businesses where the same information is entered into more than one system
  • Teams that prepare recurring reports manually in Excel
  • Organisations already paying for Microsoft 365 but using little of it beyond email
  • Owners and managers who are the bottleneck for approvals and reporting
  • Businesses that need a specific internal tool but cannot justify employing a developer

Common problems it addresses

  • Staff copy the same data between a POS, an ecommerce platform and a spreadsheet
  • Weekly and monthly reports are rebuilt by hand every cycle
  • Enquiries arrive through several channels and are forwarded manually
  • Approvals sit in inboxes with no record of who decided what
  • Product and pricing changes are applied inconsistently across systems
  • Nobody is certain which spreadsheet is the current version

Capabilities

What this service covers

  • Repetitive task automation Identify the manual steps that repeat daily or weekly and replace them with a controlled, logged process.
  • Microsoft 365 and Power Automate workflows Build workflows on the Microsoft tooling you already licence, using SharePoint, Teams, Outlook, Lists and Dataverse where appropriate.
  • Email and notification automation Send the right alert to the right person when a defined business condition occurs, rather than relying on someone noticing.
  • Approval workflows Route requests to a nominated approver, capture the decision and keep a searchable record.
  • Scheduled reports Generate and distribute a consistent report on an agreed schedule from approved data sources.
  • Spreadsheet-to-system automation Move critical spreadsheets onto a controlled data source with validation, while keeping a familiar way of working.
  • Data imports and exports Validate, transform and load data between systems with error reporting instead of silent failures.
  • API integrations Connect supported platforms using their documented APIs, with authentication, retry handling and logging.
  • Custom internal applications Build small, focused tools for a specific operational job that off-the-shelf software does not cover.
  • Document processing Extract agreed fields from invoices, forms and operational documents, and send exceptions for human review.
  • Business alerts Notify staff when stock, sales, margins or operational measures move outside agreed thresholds.
  • Customer-enquiry routing Classify incoming enquiries using defined business rules and allocate them consistently.
  • Social media workflow automation Prepare and schedule approved promotional content through supported platform integrations, with a human approval stage.

Practical use cases

What this looks like in a working business

Each use case describes the problem, the approach and the limits, so you can judge whether it matches your situation before you get in touch.

  • Restaurant

Automated social media posting

Business problem
A retailer or restaurant manually creates and publishes similar promotions across Facebook and Instagram.
ByteX approach
Create a controlled workflow that reads approved promotions, products, offers or menu updates from a managed source, prepares post content in your voice, sends it to a nominated person for approval, and schedules publication through supported platform integrations.
Expected outcome
More consistent posting, because content is prepared ahead of the busy period rather than during it

Scheduled management reports

Business problem
A manager manually downloads sales information, updates a spreadsheet and emails a report every day or week.
ByteX approach
Connect the approved data sources directly, calculate the agreed metrics using definitions everyone has signed off, generate a consistent report and distribute it on a schedule.
Expected outcome
The report arrives on time regardless of who is in the office

Automated customer-enquiry routing

Business problem
Enquiries arrive through website forms, a shared mailbox, social messages and phone notes, and are manually forwarded to whoever seems most appropriate.
ByteX approach
Classify enquiries using defined business rules, notify the responsible team or person, and retain a searchable record with a clear status.
Expected outcome
Enquiries reach the right person faster and more consistently

Product and pricing update workflow

Business problem
Product information is maintained in multiple spreadsheets or systems.
ByteX approach
Create an approved master-data workflow: one place where a product change is entered, validated against agreed rules, approved, and then distributed to each supported destination with a record of what changed and when.
Expected outcome
Fewer duplicate updates, because the change is entered once

Approval-based document processing

Business problem
Invoices, forms or operational documents arrive as email attachments and are manually renamed, saved to a folder, keyed into a system and assigned to someone for approval.
ByteX approach
Extract the agreed fields from each document, apply business rules such as matching to a purchase order or checking a total, file it consistently, and route anything that fails a rule to a person for review.
Expected outcome
Reduced administration on routine documents while keeping oversight of unusual ones

Typical systems

Platforms this work usually touches

This is an indicative list, not a guarantee of integration. What is achievable with any given platform depends on your subscription, the available API and the vendor's terms, and is confirmed during the review stage.

  • Microsoft 365 (SharePoint, Outlook, Teams, Lists, Excel)
  • Power Automate and Power Apps
  • Azure Functions and Logic Apps
  • SQL Server and Azure SQL
  • Shopify, WooCommerce and other ecommerce platforms
  • POS and inventory platforms that expose an API or scheduled export
  • Accounting platforms such as Xero and MYOB
  • Email, SMS and notification providers

Delivery process

How a project runs

  1. Understand

We talk through the business problem and how the work is done today — who touches it, how often, and where it goes wrong. No obligation to proceed.

  2. Review

We identify the systems involved, confirm what their APIs and permissions actually allow, and set out requirements, risks and options. Some ideas are ruled out at this stage, and that is a useful outcome.

  3. Build

We configure or develop the agreed solution against a written scope, with validation, logging and error handling built in rather than added later.

  4. Improve

We test with your data, document how it works, hand over to your team, and agree what planned improvements or maintenance make sense.

Important limitations

What to know before you commit

These constraints are stated up front because finding them out midway through a project is expensive for everybody.

  • Automation depends on what a platform actually exposes. Where a system has no API, no export and no supported integration, the achievable scope may be limited or a different approach may be required.
  • Vendor subscription tiers can restrict API access, rate limits and available endpoints. Feasibility is confirmed during the review stage, not assumed at quoting.
  • Sensitive actions — publishing content, sending customer communications, releasing payments — are designed with a human approval step by default.
  • Third-party APIs change. Ongoing correctness depends on an agreed maintenance arrangement; ByteX does not provide unscheduled emergency support.

Questions

Frequently asked questions

Do we need to replace our current systems?

Usually not. Most automation work connects and improves the systems you already use. Replacing a platform is a much larger decision, and ByteX will say plainly when the existing tooling is genuinely the constraint.

We already pay for Microsoft 365. Can we use that?

Often yes. Power Automate, SharePoint, Lists and Teams cover a large share of common workflow requirements, and using licences you already hold is usually cheaper than adding another subscription. Some connectors and capabilities require premium licensing, which is identified during the review.

How do we know the automation actually ran?

Every workflow is built with logging and an agreed failure notification. If a scheduled process does not complete, a nominated person is told — silence is never treated as success.

Can staff still override an automated process?

Yes, and they should be able to. Workflows are designed so that a person can intervene, correct data and re-run a step. Automation is meant to remove typing, not remove judgement.

Click & Collect workflow

Business problem
Customers can select pickup at checkout, but store allocation and order information are unclear once the order arrives.
ByteX approach
Capture the pickup location and customer details as structured data at checkout, validate the selection against what that store can actually fulfil, and route the order into the fulfilment process with the information staff need to act on it.
Expected outcome
Clearer store fulfilment, because each order arrives with the location already determined

Product catalogue cleanup and import

Business problem
Product names, categories, barcodes, pricing or descriptions are inconsistent.
ByteX approach
Validate, transform and prepare catalogue data as a repeatable process: check structure and formats, identify duplicates, normalise categories and units, and produce a clean import file plus an exception report of what needs a human decision.
Expected outcome
Cleaner product information across the systems that use it
