The problem

The owner waits for staff to manually prepare sales reports, or logs into the POS back office and interprets the numbers themselves each morning. Comparisons against last week are done from memory, and a bad trend is noticed late.

How the work is usually done today

  1. A staff member runs an end-of-day report
  2. Figures are written into a book or a spreadsheet
  3. The owner asks for the numbers by text message
  4. Week-on-week comparison happens only when someone has time
  5. Labour cost against sales is calculated occasionally, if at all

The ByteX approach

Collect supported POS exports or API data automatically, calculate the agreed measures, and email a plain-language daily summary with comparisons that are actually useful, such as the same day last week and month to date.

Example workflow

  1. Establish the data path

Use the POS API where available, or process a scheduled export placed in an agreed location.

  2. Agree the measures

Sales, covers, average spend, category split and whatever comparison the owner actually uses to judge a day.

  3. Build and reconcile

Validate the calculated figures against the POS end-of-day report until they agree.

  4. Distribute

Email the summary each morning to the agreed recipients, readable on a phone.

  5. Alert on gaps

Notify a nominated person if the data did not arrive, rather than sending a summary based on nothing.

Potential systems

What may be involved

Indicative only. What is actually possible depends on your platforms, subscription tiers and each vendor's integration terms.

  • Hospitality POS platforms with API or scheduled export
  • Microsoft 365 and Outlook for distribution
  • Power Automate or Azure Functions
  • SQL Server or Azure SQL for history and comparisons
  • Power BI where an interactive view is also wanted

Expected outcomes

What tends to improve

Operational outcomes rather than percentage claims. ByteX does not publish savings figures it has not measured in your business.

  • Faster visibility over trading performance, available before the venue opens
  • Consistent measures rather than figures that depend on who prepared them
  • Staff time returned from report preparation
  • Trends visible earlier, because comparisons are automatic
Important limitations
  • If the POS provides neither an API nor a reliable scheduled export, someone still has to place a file in an agreed location. The workflow removes the spreadsheet work, but not that step.
  • Some POS platforms restrict API access to particular subscription tiers.
  • Late transactions and end-of-day adjustments can change figures after the summary is sent, so the report states its cut-off time.

Security and privacy considerations

  • Sales figures are commercially sensitive; distribution is limited to an agreed recipient list.
  • POS access uses a read-only account with credentials held securely.
  • No customer or payment card information is included in the summary.
  • Historical data retention is agreed rather than accumulating indefinitely.

Automated report commentary

Business problem
Managers receive dashboards but still manually write the routine summary that accompanies them: what moved, by how much, and against what comparison.
ByteX approach
Generate plain-language commentary from the approved metrics: what changed, by how much, against which comparison, and which measures fell outside agreed thresholds.
Expected outcome
Faster reporting cycles, with commentary present every cycle rather than when there is time
