The problem

Staff manually transfer orders or tracking information between ecommerce, warehouse and carrier systems. Every order is handled two or three times, tracking numbers are pasted back one at a time, and customers ask where their parcel is because the store was never updated.

Example workflow

  1. Confirm capability

    Establish what each platform provides: order webhooks, fulfilment endpoints, carrier APIs and their rate limits.

  2. Transmit orders

    Send new orders to the warehouse or carrier system in the required format, with validation before despatch.

  3. Receive fulfilment

    Take back despatch confirmations and tracking numbers as they are produced.

  4. Update and notify

    Mark the order fulfilled in the store platform, which triggers the customer notification through the platform itself.

  5. Alert on failure

    Report any order that did not transmit or did not return fulfilment within an agreed window.

Important limitations
  • Carrier API access typically requires an eligible business account and may involve integration fees set by the carrier.
  • Not every warehouse or logistics provider offers an API. Some support only scheduled file exchange, which sets the achievable frequency.
  • Address validation and dangerous goods rules are carrier-specific and need to be accounted for explicitly.
  • Peak-period volumes can hit rate limits, which affects the design.

Security and privacy considerations

  • Order data contains customer names and addresses and is transmitted only to systems required to fulfil the order.
  • All transfers use encrypted connections, with credentials held in a key vault.
  • Transmission logs record order references and status rather than full customer details.
  • Retention of order data in any middleware is limited to what is needed for reconciliation.
